Administrative Support Specialist – Community of Christ Seminary

The Graceland University Community of Christ Seminary seeks a full-time (12 months) Administrative Support Specialist. This position reports to the Dean of the Seminary.

Community of Christ Seminary and CIMM Essential Duties & Responsibilities:

  1. Seminary Operations
    1. Support annual orientation for new students
    2. Schedule of classes each year
    3. Collate online BrightSpace D2L course and faculty surveys
    4. Attend and record meeting minutes for Seminary Faculty and Staff meetings.
    5. Attend and record meeting minutes for the Seminary Advisory Committee.
    6. Attend and record meeting minutes for Sustainable Social Justice Committee
    7. Update Seminary Student Handbook
    8. Send out all requited text lists & syllabi for each course to all registered students.
    9. Work with Focus Session Coordinator to execute Focus Session – sending calls/scheduling/emails/communication
      • Order and imprint Bibles for all commissioned students
  2. Communication & Marketing
    1. Consistent communication with Students via phone and email
    2. Communication of special events and programs
    3. Development and distribution of invitations, flyers, and notifications (often using Canva)
    4. Social Media Marketing Posting – advertising, announcing, and inviting.
      • This is done in coordination and collaboration with Dean and CMO
    5. Coordination and Communication with Community of Christ Marketing/Communications
    6. Daily checking of the seminary email inbox and physical mailbox
  3. Admissions & Enrollment
    1. Track Enrollment Projections and communicate with Dean
    2. Track Slate daily for applications and leads
      • report applications received and statuses as requested.
    3. Processes documents as received and enters information into the system(s)
    4. Communicate process efficiently for Dean review (acceptance or denial)
    5. Creates student files and organizes documents within each file in a manner that others can step in and assist when needed
    6. Create systems, processes, and procedures that are easily demonstrated to others.
    7. Work collaboratively with Admissions office and Enrollment Ops to increase quality and efficiency in services provided.
    8. Ensure that admissions letters are sent and confirmations received
    9. Serve as the liaison between student and student accounts/financial aid.
    10. Track CofC Tuition Benefit, Emerging Leader Grant, and Scholarships for students and send annual report to CofC.
  4. Registration
    1. Update records in CARS
    2. Set up programs of study for each student
    3. Process course enrollments
    4. Process course and program withdrawals
    5. Work with program support specialist to get online course sections set up
    6. Maintain all student files
    7. Run Cognos reports specific to Seminary data collection as needed
  5. CIMM Specific Tasks
    1. Facilitate student enrollment
    2. CIMM student welcome email, FAQ, and Syllabi
    3. Set up DocuSign forms every trimester
    4. Process withdrawals.
    5. Update and track spreadsheets with student and course information
    6. Support Spiritual Formation & Companioning Program
  6. Assist Dean as needed
  7. Other duties as assigned. Internal applications accepted. Review of applications will begin immediately and continue until position is filled. Bachelor’s degree preferred or equivalent obtained through a combination of education and experience.
